How to remove ‘Not Defined’ from the prior year column in the Extended Trial Balance

If you are creating the first set of accounts for a client with a prior period that was not completed in BTCSoftware, the prior year column in the Extended Trial Balance displays as ‘Not Defined’ and the prior period figures will not be included in the accounts calculations.
To resolve this: first, add a year-end accounts task for the prior year:
- Choose the client from the client menu list
- Go to Tasks & Tax Returns tab
- Select Add then choose Year-end accounts from the drop-down list
- Manually amend the accounting period dates to the prior year dates
- Click on View/edit year-end accounts, the summary page will open
- Select the appropriate accounts template from the Template drop-down list
- On the top toolbar, click Actions > Complete
- Click yes for the first warning
- Click Skip for the second warning
You can now go back to your current period accounts task and complete the prior year column, any figures already entered here should automatically be included in the accounts calculations.
